Trailander Oy collects personal data from users of its website. This document describes the principles and the rights of data subjects that Trailander Oy follows in the processing of personal data. 3. Legal Basis and Purpose of Processing Personal Data

The purpose of this register is to enable the fulfillment of obligations and rights as described in the service descriptions, such as transferring order details, invoicing details, payment confirmation details, or processing details between the service provider and the customer. In addition, the purpose of the register is to enable customer service contacts and the maintenance of the customer relationship, as well as direct marketing when the customer has permitted it.

We also collect and process your personal data for statutory and governmental purposes, such as accounting and other legal obligations.

4. Marketing and Communications

We also collect and process personal data for marketing and communications purposes within the limits of data protection legislation. For this purpose, personal data may be processed to target marketing and communications, and to measure and develop their effectiveness. For example, we may target content based on a person’s previous behavior or develop our services. Marketing cookies on our website are collected by services maintained by Google.

5. Contents of the Register

The data stored in the register includes: name, position/title, company, postal address (street address, postal code, state, country), telephone number, email address, information on ordered services and changes to them, billing information, and other information related to the customer relationship and ordered services.

The data is retained after the customer relationship ends until contractual obligations have been fulfilled. At the end of the retention period, the data will be deleted or anonymized by the data controller. The data controller reserves the right to retain anonymized data.

6. Regular Sources of Data

There is always a legal basis for the processing of data as required by law. We collect data relating to our customers, potential customers, job applicants, and employees.

We collect and process the following data: the name of the person’s employer company, names of contact persons, work address, email address, telephone number, job title, marketing permissions and prohibitions, customer feedback data, and information provided by the person themselves via a contact form, telephone, or email. In addition, we process and collect billing information, order information, delivery information, and other contract-related data.

We also collect and process information about the use of our online services through cookies.

From employees and job applicants, we collect — in addition to basic personal details — information necessary for payroll and information required to fulfill statutory obligations. We may also collect CVs and job applications.

With the person’s consent, we may also collect other information, but we will provide separate information about this at the time of collection.

7. Regular Disclosure of Data and Transfers Outside the EU/EEA

Personal data will not be transferred outside the European Union unless it is necessary for the purposes of processing personal data or for the technical implementation of the processing, in which case the transfer will comply with the requirements set by data protection legislation.

Information related to deliveries of orders and goods (name, delivery address, telephone number, email address) is disclosed to transport companies for the purpose of delivering products. Data may also be disclosed to buyers in connection with potential corporate arrangements if Trailander Oy sells or otherwise reorganizes its business.

11. Principles of Register Protection

Due care is exercised in processing the register, and data processed through information systems is appropriately protected. When register data is stored on Internet servers, the physical and digital security of the equipment is appropriately ensured. The data controller ensures that stored data, server access rights, and other information critical to the security of personal data are processed confidentially and only by employees whose job responsibilities require it.

12. Right of Access and Right to Request Rectification

Every person registered has the right to inspect their data stored in the register and to request the correction of any incorrect data or completion of incomplete data. If a person wishes to inspect the data stored about them or request rectification, the request must be submitted in writing to the data controller. The data controller may request the requester to prove their identity if necessary. The data controller will respond within the timeframe set out in the EU General Data Protection Regulation (usually within one month).

13. Other Rights Related to the Processing of Personal Data

A registered person has the right to request deletion of their personal data from the register (“the right to be forgotten”). Registered persons also have other rights under the EU General Data Protection Regulation, such as restricting the processing of personal data in certain situations. Requests must be submitted in writing to the data controller. The data controller may request the requester to prove their identity if necessary. The data controller will respond within the timeframe set out in the EU General Data Protection Regulation (usually within one month). The data controller has the right to refuse the request if there is a lawful reason for doing so based on contractual obligations or another compelling reason.
